Executive Assistant & Office Manager

Chabad Intown is seeking a highly organized, proactive Office Manager / Executive Assistant to oversee day-to-day office operations while supporting program execution across the organization. This role provides administrative and project support to the executive team and plays a key role in ensuring that systems, communications, and the office environment run smoothly and professionally.

Key Responsibilities:

  • Keep the office organized, stocked, and running efficiently

  • Manage communications, inboxes, and scheduling for programs and events

  • Support classes and community programming behind the scenes

  • Handle donor correspondence, CRM updates, and campaign logistics

  • Assist the Rabbi and team with day-to-day administrative needs

Qualifications:

    • 4–6+ years of experience in administration, operations, nonprofit work, or a related field (or equivalent experience)

    • Outstanding written and verbal communication skills

    • Strong organizational skills with exceptional attention to detail

    • Ability to manage multiple projects, meet deadlines, and adapt in a fast-paced environment

    • Strong interpersonal skills and ability to work with diverse stakeholders

    • Proactive, resourceful, and able to work independently

    • Comfortable with technology and willing to learn new systems and tools

Preferred Attributes:

    • Experience in a nonprofit, synagogue, school, or mission-driven organization

    • Background in office management, executive support, or operations coordination

    • Experience supporting a senior leader or executive in a fast-paced environment

    • Familiarity with donor management, fundraising support, or CRM systems

    • Proven track record of managing multiple projects and deadlines simultaneously

    • Comfortable working with data, lists, and tracking systems (e.g., spreadsheets, CRMs)

    • Demonstrated ability to follow established systems while improving processes over time
