Executive Assistant & Office Manager

Chabad Intown is seeking a highly organized, proactive Office Manager / Executive Assistant to oversee day-to-day office operations while supporting program execution across the organization. This role provides administrative and project support to the executive team and plays a key role in ensuring that systems, communications, and the office environment run smoothly and professionally.

Key Responsibilities:
Keep the office organized, stocked, and running efficiently
Manage communications, inboxes, and scheduling for programs and events
Support classes and community programming behind the scenes
Handle donor correspondence, CRM updates, and campaign logistics
Assist the Rabbi and team with day-to-day administrative needs
Qualifications:
4–6+ years of experience in administration, operations, nonprofit work, or a related field (or equivalent experience)
Outstanding written and verbal communication skills
Strong organizational skills with exceptional attention to detail
Ability to manage multiple projects, meet deadlines, and adapt in a fast-paced environment
Strong interpersonal skills and ability to work with diverse stakeholders
Proactive, resourceful, and able to work independently
Comfortable with technology and willing to learn new systems and tools
Preferred Attributes:
Experience in a nonprofit, synagogue, school, or mission-driven organization
Background in office management, executive support, or operations coordination
Experience supporting a senior leader or executive in a fast-paced environment
Familiarity with donor management, fundraising support, or CRM systems
Proven track record of managing multiple projects and deadlines simultaneously
Comfortable working with data, lists, and tracking systems (e.g., spreadsheets, CRMs)
Demonstrated ability to follow established systems while improving processes over time
